The incumbent is responsible for ensuring a warm and professional welcome for staff, students and visitors. He or she contributes to the smooth running of the School's reception activities on weekends, while performing various administrative tasks. He or she may also be called upon during the week for replacements or ad hoc needs.
• Greet staff, students and visitors.
• Manage visitor register (check-in and check-out).
• Monitor and manage parking access.
• Answer telephone calls, e-mails and requests for information.
• Provide logistical and administrative support to staff and management.
• Collect payments or complete registrations (as required).
• Ensure the security and smooth operation of the reception and common areas.
• Apply emergency protocols and relay important messages.
• Participate in special events (auditions, shows, open houses, etc.) when required.
Education and experience
• Any relevant combination of education and experience will be considered (training in office automation, secretarial work, administration, customer service, etc.).
Assets
• Experience in a cultural center, school, dance studio or arts organization.
• Understanding of how a school or arts establishment operates.
• Interest in the artistic or cultural milieu.
Aptitudes
• Excellent presentation and courtesy.
• Excellent organizational skills.
• Multi-tasking: telephone, e-mail, registrations, room management, logistics, etc.
• Good communication skills with a varied audience.
• Discretion and professionalism.
• Comfortable with technology (basic school management software, messaging, timetables, etc.).
• Bilingualism French/English.
• Compensation: according to experience - 3 to 8 pm / weekends and weekday evenings as needed.
